Under the direction of the Community V.P. the Senior Director of Business Services is responsible for managing the business of the center, including all accounting and back office duties; the liaison to centers regarding the business function for Youth Development; responsible for the collection of program fees for before and after school and day camp; human resource functions including payroll processing; telephone, computer and related information technology troubleshooting/ and other administrative/clerical duties as needed. This position may directly supervise employees and the Sr. Director of Business Services must understand their role in helping to build relationships, encouraging a small community atmosphere and delivering exceptional service to our members and participants. Depending on the center size and scope of service, this position may oversee service contracts with outside vendors. Directly supervises customer service staff. The Senior Director of Business Services will also work closely with the Director of Business Services from each center. ESSENTIAL FUNCTIONS *Designated as a First Responder in the event of an emergency. 1. Insures proper posting and handling of daily financial receipts. Maintains financial records daily as required as well as monthly reconciling. Ensures that bank deposit is made properly and as required. May process petty cash on an as-needed basis. 2. Facilitates training of staff in the areas of office function and program/membership registration software and related processes. Coordinates enrollment of program registration and related functions. 3. This position also researches and assists with the resolution of human resource questions and may serve as the center liaison to the Association Human Resources Department with regards to administrative human resource and payroll inquiries. In conjunction with the Association Human Resources Department, advises professional and non-exempt staff on employee benefits such as insurance, retirement, workers compensation and may serve as the first point of contact in employee relations matters. Processes all employment personnel forms, staff ID's and ensures paperwork is completed as required for new hire employees or changes for current employees. Maintain personnel files in an organized, timely manner. May provide leadership to new employee orientation sessions and OSHA training for staff. 4. Ensures that time cards and/or time sheets are prepared for each pay period and maintains and organizes payroll records confidentially. Processes bi-weekly payroll or insures that payroll is processed as appropriate. 5. May assist with recruiting, interviewing, hiring, supervising, training and evaluating office staff. In some centers, this may include other department staff. 6. Performs as the center expert on the computer system, hardware, and software and is the liaison with technology staff at the Association Office. Manages technological issues related to the Center Computer Lab including interfacing with vendors regarding service/repair needs. 7. Maintains office equipment (computers, printers, telephones, copier, and fax), and responds or recommends actions to provide continued functioning equipment. 8. Monitors and maintains office supplies including bank membership, program and general office. Orders office supplies monthly with appropriate pre-approval. 9. Maintains inventory and processes orders for the Center Professional Image attire. 10. Assists with the administration of the center Annual Campaign, including maintaining financial records of the campaign (if applicable). 11. In some centers, may be responsible for coordinating aspects of upkeep, appearance and maintenance of the facility. 12. In some centers, may provide leadership in organizing meetings and conferences, including room usage, preparation of agendas, exhibits, recording and distribution of minutes. May provide clerical support to professional staff. 13. Participates in Association and Center committees as assigned. 14. Performs other duties as assigned by the Executive Director or other appropriate staff member.
