Job Description:

Job Description This position is the senior admin for in the UH-1N Replacement Program Execution Group (PEG).-- The employee provides a wide range of administrative support for the Program Integration Team. Essential Job Functions: Maintain calendars for key personnel and conference rooms, resolving schedule conflicts and disseminating all changes. Receive incoming phone calls, routing to the appropriate party or documenting for further action. Serve as timekeeper for Government civilian personnel, maintaining documentation that tracks time away from the job. In-process and out-process all personnel (Government and Contractors). The Contractor shall input information required into Government databases, develop and maintain a welcome packet, and arrange seating, computer, and phone support as necessary. Coordinate arrangements, agendas, and briefingmaterials and record/track program action items and suspense---s for events such as meetings, reviews, working groups, and audits. For these events, the Contractor shall coordinate with functional managers, outside agencies, Contractor personnel, and the program office customers. Assist with the establishment and maintenance of official file plans with the use of Electronic Records Management System(ERM). Assist in preparing Continental United States (CONUS) and Outside the Continental United States (OCONUS) travel arrangements and travel vouchers using Defense Travel System (DTS) in accordance with the Joint Travel Regulations (JTR) and the Joint Forces Travel Regulations (JFTR). Assist with the ordering of office supplies and with maintaining an inventory of stock, gather requests for supplies, and prepare and itemize various lists for supplies/equipment. The Contractor shall recommend items to be ordered/purchased and assist with the delivery. Collect and prepare materials for staff meetings as required. Provide support to the Video Teleconferencing (VTC) manager. The Contractor shall assist with VTC bridge scheduling processes, and shall coordinate VTC connectivity and interface requirements/issues with the VTC maintenance Contractor. Retrieve data/information from program databases in the form of queries and reports as required. Facilitate the use of standardized automated forms such as travel orders, performance reports, materials procurement, maintenance and disposition, aswell as other periodic or ad hoc reports. Assist with distributing and transmitting correspondence and incoming and outgoing mail. Assist personnel with the transmittal of time sensitive government correspondence using overnight or express mail services. Review and edit all documentation and correspondence prior to the HPO Director and/or Deputy Director---s or System Program Manager---s signature. Perform other administrative duties as required. Assist with the creation and maintenance of an emergency accountability folder to be used for base exercises and real-world situations. The Contractor shall assist with the creation and maintenance of recall, phone, and accountability rosters, both electronically and physically. The Contractor shall assist with the dissemination of information as necessary for all personnel to be prepared for emergencies. Plan, assist, coordinate, draft and follow-up with reports consistent with paragraph 3.2.2. Assist with the planning and drafting of the Monthly Acquisition Report (MAR). Assist with the coordination of briefings, papers, and inputs about the systems to ensure continuity and standardization across reports over time. Assist with consolidating information for, generating charts, and facilitating staff meetings for senior program management. Charts include data from various tracking systems (travel, accountability, calendars, top issues, suspenses, personnel actions, etc.). Assist with the maintenance and execution of the self- inspection checklist program. The Contractor shall be the working level point of contact and shall work independently on reviewing and updating self-assessment checklists by utilizing the MICT. Aupport the management and tracking of internal and external suspense tasks such as Senior Officer Communication and Coordination Electronic Resource (SOCCER) requirements and other suspenses. Assist with planning and tracking award review boards, award and decoration packages, Contractor Performance Assessment Reporting System (CPARS) inputs for weapon system contractors (not on this A&AS contract), personnel performance reports and feedback. Assist the division (and its members) with training and preparation of staff summary sheets and packages. The Contractor shall assist with consolidating package information that needs to be staffed to AFLCMC/WI, AFLCMC, AFMC, the AF, and DoD and its various organizations in support of the program and leadership. Assist the division (and its members) with travel approval worksheets, to include drafting estimates and justification for travel. The Contractor shall assist with consolidating and staffing travel requests to the division as required. Assist with consolidating information from the functional areas to draft reports and briefs as required. The briefs can be used for internal or external decisions as well as brainstorming sessions. The reports can be status reports for internal or external reporting as necessary. Assist with the employment of analytical methods or techniques to collect, analyze, and evaluate information required by the HPO Division managers. Assist with coordinating all HPO Division---s top issues, activity reports and briefings for the AFLCMC/WI staff meetings. Required Skills: Due to the sensitivity of customer related requirements, U.S. Citizenship is required. High School/GED and--8--years of experience is required. Active Secret Clearance.
