Job Description:

ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.General Office Administration:Greet and welcome visitors and vendors in the office;Answer main Dayton office phone lines, route calls appropriately, and check and return voice messages;Liaise with building management and appropriate NFP staff or vendors to ensure that security and insurance protocols are met for employees, contractors, guests and vendors;Maintain conference room schedules and assist with conference setups and break-downs - including handling food vendors, guest list, and computer/projector/whiteboard setup;Manage all Technology service issues in the office through NFP Technology contacts and systems, and appropriate vendors;Schedule internal and external meetings and appointments for and with the executive team and other personnel as assigned;Scan mail and other company documents into appropriate electronic database (e.g. Epic);Review and route incoming and outgoing mail;Prepare, send, and track outgoing shipments and receive incoming shipments;Draft correspondence;Prepare printed materials for client presentations and meetings according to company standards;Implement client service initiatives with high attention to detail and company standards.Maintain kitchen, file room, copy/supply room, and conference rooms in clean and orderly condition;Track and order office equipment and supplies; andMiscellaneous projects and other duties as assigned.Account Management Support:Issue certificates of insurance and evidence of property for clients as requested.Generate invoices for all policy transactions in agency management system (EPIC).Maintain and input client and company information on carrier websites in order to obtain quotes on various lines of coverage.Obtain policy/endorsement documents from carrier websites.Obtain MVR reportsHandle CIC claim checksKNOWLEDGE, SKILLS, AND/OR ABILITIES:Excellent Microsoft Office, Word and Excel skillsProficiency with Internet software and ability to research and retrieve information quickly;Proficiency with office equipment, such as copiers, binding machines, and postage machines;Understanding of departments, Company and team's role in the organization;Ability to interact well with internal and external customers, vendors, and government agencies;Strong organizational skills and ability to prioritize tasks;Attention to detail;Ability to maintain strict confidentiality in regard to work performed;Understanding of various compliance considerations in the insurance industry;Ability to multi-task and adjust to changing priorities in a fast-paced environment; andAbility to anticipate and meet deadlines.SUPERVISORY RESPONSIBLITIES: NoneEDUCATION AND/OR EXPERIENCE:2 years' experience as an executive or administrative assistantHigh school diploma required; Some college or equivalent industry related experience preferredInsurance or financial services industry experience preferredCERTIFICATES, LICENSES, REGISTRATION: Ohio Property & Casualty Insurance license desirable but not requiredPHYSICAL DEMAND: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
