Job Description:
Are you an experienced Property Manager looking for a fast-paced
new career with a ton of opportunities to grow with our Real Estate
Investment Team? If so, this may very well be the career for
you!
Our company is now hiring a full-time Experienced Property Manager
for Single Family and Small Multi-Family homes! -We manage approx
150 units, primarily consisting of Single Family homes along with a
few small 4-20 unit -apartment -buildings. -You will be the Lead
Property Manager with some VA assistants to help on the side. In
the future, once we cross 200 units under management, we will add a
second full-time assistant to work underneath you at your
direction.
We are a RE Investment and Turnkey Rental Company that sells local
Ohio rental property to clients in all different states and
countries and then manages the property for them. We do not take on
outside clients which makes your life much easier. You'll only be
managing our properties, and directly for our Turnkey clients.
We are coming up on a Huge growth phase in the next 90-120 days as
we onboard many new clients and sales channels. We're also
promoting our current Property Manager to a Marketing Role within
our company, hence the reason we're now hiring.
You'll be solely responsible for not only managing the existing
growing book of business but also for all new incoming inventory.
Leasing, management, accounting, ledgers, client and customer
service contact, liaising with our team, the client, the full-time
handymen for repairs, etc. -It sounds like a lot, but at only 150
units with 2 full-time Virtual Assistant helpers, if you're
efficient, it's not too much at all with our software and systems.
-We use RentManager so if you have experience with it, all the
better! -Even if not, if you've used Appfolio, Buildium,
Propertyware, etc., they're all about the same once you get
familiar with them.
As we grow, you will have an FT admin placed underneath you in the
next 60-90 days to help assist with duties. For now, one of our
other current full-time admins will be available to help you
part-time depending on needs. We also employ the services of 2
full-time Virtual Admins (VAs) who can make outbound and receive
incoming phone calls, fill out work orders, email handymen for
maintenance needs, and many other tasks. However, again, you are
still responsible for All aspects of Property Management and
overseeing/managing those VAs and your new Assistant.
This is not a regular 9-5 position of course, which you know if you
have experience. Our office hours are 9a-6p M-F but there are
certainly earlier or later days as duty calls. It's just the nature
of the business. 90% of all showings are remote through our system
without you having to be there, but occasionally, something will
pop up on a night/weekend that must be attended to.

we only want folks that have this same mindset. -We're a tight-knit
team of family and friends and our number one goal is to always
keep that same casual/fun culture. sure, there are crazy stressful
days sometimes, but overall...we like our fun and laid-back
vibe.

with large amounts of money, tenants' lives, and our clients' as

So what are we looking for, what are the responsibilities, perks,
negatives, etc?
Our office is small and informal. -Very comfortable and easy to fit
in. We wear whatever we want whenever we want. I normally wear
jeans and a t-shirt. Others wear athletic gear, and others dress up
every single day. Whatever you like, wear it as long as you're
presentable to clients and tenants.
Our team buys and sells 20-25 properties every month, but we only
keep/sell 3-5 of those for ourselves and our clients. Thus, you'll
easily be able to scale up operations on your side without being
overwhelmed.
Pay and perks:
You'll have a starting base salary of $50-55K DOE. From there,
you'll earn bonuses, leasing bonuses, renewal bonuses, profit
sharing, and other rewards based on your personal and collective
team performance. This will equate to a -total pay package of
$85-100K your first year. -We will give you more than enough
opportunities to shine, advance, move up and prove yourself. The
rest is entirely on you!
We only lease Quality homes in high-quality areas. No junkers,
low-end, crime-ridden D-class trash here. Your safety and our
property safety are of the utmost importance and we only invest and
sell in Nice areas!
Hours: -Our office is formally open from 9a to 6p Monday through
Friday. There are certainly some later nights, and certainly, some
tasks to do after hours sometimes, or a weekend task, etc., but we
do not come into the office on weekends at all, ever. You'll need
to have this flexibility in your life for this to be the right fit.
After all, we have to perform for our clients when they need us to.
And while this is 95% contained within the hours of 9-6, there are
certainly times we have something important. We also high-five and
cheer on the team via group chat all the time which takes literally
15 seconds.

Responsibilities:
What do we need in someone we hire?
--- Email, fax, Docusign, FB for team chat, etc. Must know MS
Office. Word, Excel. Type 55WPM+. Must have deep experience with
some PM software, and we'll then train you on our RentManager
system.
--- This job is an in-person job Fully. We are not hiring anyone
that is remote. Our clients need to be able to put a name to a face
and be able to meet you if needed.
--- Previous experience as a property manager for single-family
homes is REQUIRED. - -It's a Lot more driving between homes and
different practices than someone who has only managed a commercial
apartment complex all in one place. -Luxury apartment rental is
much easier than managing 150 units spread 30mi apart! If you don't
have this direct experience, we aren't able to offer you the
role.
--- About that driving thing, plan on driving to appts, showings
occasionally, doing property turn scopes and QC inspections to
ensure your property is ready to lease, etc. We have a company car
you'll use so you'll need a reasonably decent driving record to be
added to our insurance.
--- Excellent customer service skills. If a tenant is late on their
rent, or you are talking with a client that is worth $50MM, you
must always represent the company well and represent the company in
the Same way the owner would. Even though you are not in sales,
every job within our company has some sales aspect to it. Selling
the client on the great job we do so they buy more properties.
Selling the tenant on why they should rent from us and how we take
better care of our properties, etc. Every job involves some aspect
of "sales" which simply means very good verbal and written
communication. -Your main job is to keep tenants happy long term,
at the highest reasonable rent, and avoid turnover!
--- All properties are leased within 5-10 days of posting typically
with at least 3-5 backup/overflow applicants for each home/unit.
You not only need to understand this speed and work at this
frequency but need to know how to shuffle the overflow to other
listings. If you are having trouble leasing a unit, you need to
figure out Why, and how to remedy the problem Fast before the
10-day deadline even hits. The pics, the description, the info, the
marketing, the rent price you set - something. You'll use our CRM
syndication tool and Zillow Rental Portal to post to Houzz, Trulia,
Zillow, Rently, Lovely, and many others. -Between those resources,
every property leases up very very quickly as long as you're doing
a great job with pics and descriptions, follow-ups, calls, emails,
showings, etc. We occasionally use FB Marketplace as well if these
others fail.
--- You'll work with the Rehab and maintenance department
hand-in-hand to find out when units are ready to be leased, which
again, you'll QC inspect and do move-in and move-out inspections to
confirm.
--- Must have a very keen eye for detail.
--- Must understand leasing with all Fair Housing requirements
including pet vs ESA vs Service animals, etc.
Qualifications:
--- You'll need to know how to use incentives and have the
authority to do so, how to make things happen with tenants when
showing them (getting them to lease), and how to keep them happy
once they are there. We have someone on our team do 2x monthly
drive-by property inspections to see how they are maintaining the
home so you'll always know what's happening with the property. We
provide these to clients every month as well so they know. They are
in France, Ireland, Israel, GA, FL, CA, and all throughout the
world; this helps keep their mind at ease.
--- You'll need to know how to send work orders to crews, follow
up, get invoices to our AR/AP dept, keep ledgers for client
expenses, collect past due balances, post-eviction notices, liaise
with our eviction attorney, screen tenants with our software, get
Very good at avoiding tire kickers or time wasters on the phone so
you don't waste time driving to a property for a showing and the
prospect doesn't even show. We do very well at what we do here,
thus, we tend to only have 0-2 evictions max per year. Our
collection rate is well over 99.5%, so no, we don't accept 97% as
good. That's actually Terrible if you're any good at the role.
--- Must be all the normal stuff: detailed, highly organized,
focused, have the ability to build rapport, punctual, stable, very
few missed days of work in the past, and not be a job hopper. We're
crazy people at a crazy awesome job that will only grow and grow
across the months/years.
--- A clean background check and a valid Driver's license are
required!
--- You really need to live within 20 miles of Springboro, OH.
-Many of our properties are in Dayton and Cinci and if you live all
the way deep down in Cinci and we have a rush showing in north
Dayton, it's tough. The more neutral you live between Cinci/Dayton
the better.
